A useful sample approval records what was reviewed and what may proceed. Keep the approved physical sample, drawing and specification together. List unresolved items separately so an appearance approval is not mistaken for approval of every functional requirement.

For a glass collection, review form, dimensions, finish, accessory fit and packing. Add intended use, destination market and project-specific validation requirements before sampling starts.

Identify the exact sample and revision

Give each sample a reference and revision. Record the date received, related drawing and artwork version. Photographs should accompany the physical sample and measured record.

State when a sample represents only part of the final scope. An undecorated shape sample may establish proportions while colour, branding and packaging remain open.

Record measurements and appearance separately

List the dimensions important to the application and agree how they will be measured. Confirm permitted variation before using those dimensions as inspection criteria. An opening that fits a lid may need closer attention than a decorative contour.

Compare colour, transparency, texture and decoration against agreed references. Define acceptable handmade variations and visible conditions requiring review. Broad words such as premium do not tell an inspector what to accept.

Review the assembly and packing

Check the proposed lid, diffuser accessory or lighting fitting with the glass component. Record the component references and fit criteria. Approval of one component does not establish compatibility with an unreviewed accessory.

Check the pack against the finished item. Record inserts, carton configuration and labels relevant to the order. Agree transport or handling evaluation separately: a sample box alone does not prove shipping performance.

Close open items before releasing production

Record a clear decision: approved, approved with stated conditions, or revise and resubmit. Assign open items and state whether production may proceed while they remain open.

Keep appearance approval, functional validation and commercial approval distinct. Quantity, price, timing and inspection scope belong in the order record. Confirm production uses the same approved versions. Decide whether material, process, finish or accessory changes require a new sample or further validation.

Is an email saying approved enough?

Identify the sample, revision, approved scope and remaining conditions so both parties can trace the decision.

Should I keep the approved sample?

Keep it with the specification and revision record for later comparison. Agree how buyer and supplier reference samples are identified.

Does sample approval replace inspection?

No. Sample approval defines the reference; production inspection checks the agreed scope against that reference and the order.
